1. What data we process
When you use the BotCentralHub website and communicate with us, we may process the following categories of data:
- E-mail communication: When you contact us via email or an inquiry, we process your name, e-mail address, and the content of your message.
- Newsletter subscription (BCH Brief): When you subscribe to BCH Brief, we process your e-mail address, language preference, consent record (timestamp and version), and subscription status. To protect the form from automated abuse, we also process a short-lived, pseudonymized IP hash retained for no more than 24 hours.
- Technical and security data: To maintain secure system operation and administration, technical data such as your IP address and server logs are automatically recorded.
- Traffic and analytics data: Anonymous or pseudonymous traffic and site usage data are processed exclusively after you grant voluntary consent in the cookie banner.
2. Why we use the data
We process your data exclusively for legitimate and defined purposes based on valid legal grounds:
- Communication and inquiry handling: We use email information to respond to your questions and manage mutual communication. The legal basis is taking steps prior to entering into potential cooperation upon your request, or our legitimate interest in conducting proper correspondence.
- Newsletter distribution and subscription management: We process your e-mail address and subscription data to send periodic BCH Brief updates and manage your subscription. The legal basis is your voluntary consent granted upon subscription.
- Secure operation and site administration: Technical data and system logs are used to safeguard against cyber threats, ensure infrastructure stability, and maintain reliable server operation. The legal basis is our legitimate interest in website security and availability.
- Analytics and content improvement: Understanding website traffic helps us evaluate content relevance and continuously improve the website. The legal basis is your voluntary and explicit consent granted through the cookie banner.
3. Cookies and traffic analytics
We apply the following principles regarding browser storage and web analytics:
- Technical storage of user choice: We store only your cookie banner preference (whether you accepted or rejected analytics) in your browser's local storage (localStorage), avoiding repetitive banner prompts on subsequent page loads.
- Analytics tools: Google Tag Manager and Google Analytics may only be activated after your explicit consent. These tools serve to measure aggregated traffic statistics.
- Effect of refusal: Refusing analytics cookies does not restrict normal use of the website. All public content and functions remain fully accessible.
- Cookie settings: You can change your choice at any time in your cookie settings (your choice is stored in your browser, and the banner will appear again if browser storage is cleared).
4. Who can process the data
We do not sell or disclose your personal data to unauthorized third parties. Personal data may only be accessed by:
- Individuals directly involved in the operation, development, and administration of BotCentralHub.
- The web hosting and technical infrastructure provider ensuring server operations.
- Analytics service providers (Google), strictly when you have consented to analytics cookies in the banner. Google may process some data outside the European Economic Area (EEA) under standard contractual clauses and GDPR-compliant safeguards.
5. How long we retain data
We retain data only for the period necessary to fulfill each specific purpose:
- E-mail communication: Retained for the time needed to resolve the communication, for a maximum of 12 months after the last communication, unless statutory obligations require longer retention.
- Newsletter data: Retained for the duration of your consent, until you withdraw consent or unsubscribe via the link included in any newsletter email or by contacting us.
- Hosting logs: Server and security logs are retained as necessary for technical stability, operational integrity, and security.
- Analytics data: Retention of website traffic data follows Google Analytics settings.
6. Your rights
Under the General Data Protection Regulation (GDPR), you have the following rights as a data subject:
- Right of access to your personal data and information regarding its processing.
- Right to rectification of inaccurate or incomplete personal data.
- Right to erasure ("right to be forgotten") when data is no longer needed for the specified purposes.

- Right to withdraw consent for newsletter subscription (BCH Brief) at any time using the unsubscribe link in any email or by contacting us.
- Right to lodge a complaint with a supervisory authority, in particular the Czech Data Protection Authority (Úřad pro ochranu osobních údajů, Pplk. Sochora 27, 170 00 Prague 7, Czech Republic, www.uoou.gov.cz).

7. Responsible use of AI
BotCentralHub approaches artificial intelligence pragmatically, thoughtfully, and free from FOMO or inflated claims. Our work focuses strictly on structured workflows, reviewable outputs, and maintaining human control over the final result.
We never submit sensitive personal data or non-public client documents to public AI models without prior anonymization and explicit agreement. AI tools serve as assistants for discrete tasks, while final review, responsibility, and decision-making remain firmly in human hands.
