How to structure readable text

Start with what the reader needs to understand or do. Then add explanation, examples, and details. Use this approach for writing web pages, guides, or team messages.

Identify the reader and the target outcome

Select a specific piece of text or section. Note down who it is written for, what they already know, and what they should accomplish after reading. A new customer requires a different starting point than a colleague familiar with the project.

All you need is the original text and a brief reader profile. The outcome should be a clearer version that preserves essential facts, constraints, and next steps. If the purpose of the text is unclear, clarify it first.

Order information by priority

  1. In the introduction, state what the text covers and what the reader gains from it.
  2. Explain the main message in plain language. Briefly clarify required technical terms on first use.
  3. Add a concrete example or procedure. Focus each paragraph on one main point.
  4. Place supporting details after the core explanation or link to them clearly. Keep necessary prerequisites directly next to the relevant step.

Headings should help answer questions. Instead of generic "Additional Information", use "What to prepare before submitting". A shorter text is only useful if it retains everything necessary.

Example: lead with the action required

Model team message:

"Document review is performed in the shared folder. We cannot start without a project reference number. Upload your files and include the reference number in the folder name."

If a colleague needs to submit files right now, lead directly with their task:

"Upload documents to the shared folder and include the project reference number in its name. We will review the files in this folder. Review cannot begin without the reference number."

The sequence changed, not the requirement. No new dates, promises, or extra obligations were added. The critical condition remained attached to the instruction.

Try it with AI

Prompt to copy

Select an introduction or a short section of text. Remove personal and confidential data before pasting.

Refactor the following text snippet so that the intended reader can navigate it easily. Start with the main message or required action. Order explanations from core concepts to details. Preserve facts, conditions, confidence levels, and the original tone. Do not add new promises. Briefly explain necessary technical terms. Do not invent missing data. If clarifying is needed to prevent shifting the meaning, ask questions first and wait before rewriting. Return the revised text, a brief explanation of changes, and any points to verify. Only rewrite the provided section. READER & EXISTING KNOWLEDGE: [Fill in] INTENDED UNDERSTANDING OR ACTION: [Fill in] TEXT: [Paste text]

Verify that the edit helped

Have the intended reader review the text. Ask them to explain in their own words what they understood and what they need to do. Wherever they hesitate shows where further refinement is needed. AI evaluation can offer suggestions, but it cannot replace real reader comprehension.
